Why Real Estate Systems Are Outperforming Star Power

A recent Better Decisions podcast conversation with Julia Spillman, who manages the Eklund Gomes real estate team, examined what drives lasting performance in luxury property sales. The discussion argued that disciplined follow-up, clearly assigned responsibilities, and practical technology often matter more than an individual agent’s fame or personality.

Key takeaways

  • Consistent systems can turn missed leads into future transactions.
  • Simple, widely adopted tools are more effective than overly complex technology.
  • Local expertise becomes more powerful when supported by shared resources.
  • Buyers and sellers should evaluate an operation, not only its most visible agent.

The central message is that successful real estate teams are built on repeatable processes. While high-profile agents may attract attention, the infrastructure behind them often determines whether inquiries are answered, market information is organized, and negotiations progress efficiently.

A missed follow-up became a business lesson

Spillman described joining Fredrik Eklund and John Gomes during a Miami development project in 2016. After the sales cycle ended, she noticed that hundreds of registered buyers remained in a spreadsheet without a structured follow-up process. That overlooked database illustrated how valuable opportunities can disappear when no one is responsible for maintaining relationships.

The experience helped shape a team model focused on lead ownership and database discipline. According to the discussion, the broader operation later grew from approximately $50 million in annual individual production to about $4 billion in yearly team sales, with nearly 100 agents. Those figures were presented as evidence of the potential impact of consistent processes rather than as a guarantee of future results.

Small habits produce significant results

The conversation also emphasized “atomic habits”—small actions repeated over time. Logging a client interaction, making a scheduled call, or recording an important preference may seem routine, but such actions compound across hundreds of clients and years of business.

Technology, however, is not automatically the answer. Spillman noted that overly customized customer relationship management systems can become so complicated that agents stop using them. A simpler system that is consistently adopted may deliver more value than an expensive platform filled with features that employees ignore.

The constellation model combines reach and expertise

Spillman described a “constellation” approach in which each agent contributes specialized knowledge while benefiting from the team’s broader marketing reach, buyer database, and transaction procedures. In real estate, that can mean pairing a neighborhood specialist with an operation capable of supporting research, promotion, and follow-up at scale.

This structure addresses a common concern about large teams: whether clients will receive personal attention. The answer depends less on the number of agents than on accountability. Clear ownership of each lead and transaction stage can help prevent a listing or buyer search from becoming lost within a larger organization.

What clients should ask before choosing an agent

The discussion offers a practical framework for buyers and sellers evaluating representation. Instead of focusing solely on sales volume, branding, or social media visibility, clients can ask how the team tracks leads, assigns responsibilities, communicates during absences, and measures follow-up.

A strong operation should be able to explain what happens after an initial inquiry and who is accountable at each stage. For high-value transactions, that behind-the-scenes structure can be as important as the reputation of the person leading the relationship.
